- Introduction to Connect2FAX
- ===========================

- Traditionally, sending a fax was an involved process. You had
- to print your document, fill out a cover sheet with the
- recipient's name, fax number, and number of pages, load the
- document in the fax machine, and dial the number of the remote
- fax machine.
-
- Now Connect2FAX provides the technology which makes both
- outbound faxing and inbound fax delivery as easy as using your
- MHS e-mail. Connect2FAX lets you use your familiar MHS mail
- program, not a separate fax program, to send a fax without ever
- leaving your desk. Connect2FAX simply places the text that you
- have typed in your email message on the fax cover sheet and
- creates additional pages based on PCX, DCX or text files that
- you attach.

- Connect2FAX also lets you fax to multiple recipients at once by
- selecting them from your MHS address book. This saves you from
- having to wait for each individual fax to be sent before
- sending the next.

- Connect2FAX is easy to set up on your MHS or Global MHS
- network. It has minimal impact on your network resources, and
- requires no regular maintenance. And because Connect2FAX is a
- gateway, it's available to all clients of your MHS based e-mail

- Description of Files
- ====================
- The main difference between the 30 day evaluation (trial or
- evaluation) product and the purchased (commercial or
- registered) product is the installation file.

- Special Note :

- (2) use the MS-DOS edit program (example : c:> edit read.me) or
- (3) a word processing program.

- System Requirements
- ===================
- To run Connect2FAX you must have the following:
-
- - Infinite Technologies Connect2, Novell Global MHS or Novell
- MHS version 1.5 (SMF-70) or later
- - An SMF compatible e-mail application, such as Da Vinci eMail,
- Beyond Mail, Infinite Technologies' ExpressIT! and others
- - A modem with CAS driver, a CAS compatible fax board in the
- MHS machine with all fax drivers loaded or a CAS
- compatible network fax server to which the MHS machine is
- logged in. The fax board or server MUST be operational
- before installing Connect2FAX. This may be determined by
- using the fax software that comes with the product.

- Note: If you are running Alcom's LanFax Redirector, the MHS
- user must have access to all incoming faxes for Connect2FAX to
- be able to route incoming faxes.
-
- Note: For Class 1 or Class 2 FAX modems, a CAS emulator such as
- WPCOM from Word Perfect (formerly MTEZ) is recommended. This
- CAS emulator is also included with Word Perfect 6.0 (FAXDIR), so
- you may already own it.

- Installation and Setup
- ======================
- Installing and setting up Connect2FAX is a two step process.
- This whole process should take you no more than a few minutes.
-
- Installing with Connect2 or Novell MHS 1.5
- ------------------------------------------
- This installation procedure assumes you are installing
- Connect2FAX with Infinite Technologies Connect2 or Novell MHS
- 1.5. For instructions on installing Connect2FAX with Novell
- Global MHS, see the section entitled "Installing Connect2FAX
- with Novell Global MHS".

- Connect2FAX runs as an MHS gateway process named FAX:
-
- To install the gateway process:
-
- 1. Take your MHS server off-line by exiting from MHS on your
- MHS Mail Server.
-
- 2. Perform the installation process for the correct version of
- Connect2FAX that you have. If you have the 30-day trial
- version of Connect2FAX, execute C2F30DAY.EXE from the
- distribution diskette or the drive you have it on. If you
- purchased Connect2FAX, execute C2FINST.EXE from the
- distribution diskette.

- 3. Copy the contents of the distribution diskette into a
- directory on your server, for example \MHS\EXE.
-
- 4. Execute C2FAX.EXE from the directory of your server that you
- copied it to, to install the Connect2FAX gateway process.
-
- 5. Restart your MHS server.
-
- Installing with Novell Global MHS
- ---------------------------------
- Connect2FAX runs as an MHS gateway process on a PC running the
- GWDEMON utility for running DOS based gateways with Novell
- Global MHS.
-
- To install the gateway process:
-
- 1. Within NGMADMIN, define a gateway for Connect2FAX. We
- recommend that a short name of FAX be used. With NGMHS
- v2.0, in NGMADMIN select "This Server", then "SMF
- Gateways". Press <Insert> to define the gateway. We
- recommend the following settings (substitute your
- domain for the word "Domain"):

- 2. Perform the installation process for the correct version of
- Connect2FAX that you have. If you have the 30-day trial
- version of Connect2FAX, execute C2F30DAY.EXE from the
- distribution diskette or the drive you have it on. If you

- Configuring Connect2FAX
- =======================
- Before you can start using Connect2FAX, you must configure it
- properly. This is done with the C2FCFG utility that is in the
- \MHS\EXE directory. Go to the \MHS\EXE directory, and run
- C2FCFG.
-
- Example (if G: is the drive where your MHS e-mail system is
- located):
-
- [G:>] cd \MHS\EXE {Enter}
- [G:\MHS\EXE>] C2FCFG {Enter}

- As you move from field to field to fill in the options, help is
- displayed at the bottom of the screen.
-
- Connect2FAX Options:
- -------------------
- ADMINISTRATOR
- Enter the MHS name of the user who will be the Connect2FAX
- administrator. Incoming faxes, and any error reports, are sent
- to this MHS name. If an invalid name is entered, these faxes
- and reports will be sent to the MHS administrator instead.
-
- SHARED LINE
- If you are using a CAS fax board in your MHS machine serving
- as the MHS modem or the fax board and modem share a phone line,
- then enter Y. This prevents Connect2FAX from returning control
- to MHS, thus preventing MHS from disconnecting the line while
- your fax transmission is in progress. Use this option only if
- necessary, as it will slow MHS operation considerably.
- Possible settings:
- Y - shared line used
- N - shared line not used
-
- LOGO FILE
- If you would like a logo on the cover sheet of all outgoing
- faxes, enter the complete path and file name in this field
- (e.g., F:\FAX\LOGO.PCX). This path must be accessible from the
- Connect2 or MHS machine. Logo files must be valid PCX files.
- Possible settings:
- Blank - no logo on the cover
- Path and File name - logo on the cover

- DIAL PREFIX
- Connect2FAX can automatically attach a prefix to the phone
- number of outgoing faxes. This is useful if you have to dial 9
- to get an outside line, for example. Remember, if you enter a
- prefix it will be used for all outgoing faxes.
- Possible settings:
- Blank - no dial prefix
- Number - prefix dialed before all outgoing faxes

- PHONE SERVICE
- Specifies your phone service type.
- Possible settings:
- D - Default Card Setting
- T - Touch Tone Dialing
- P - Pulse Dialing

- COVER SHEET
- Connect2FAX can automatically create cover sheets for outgoing
- faxes containing:
- - logo (with LOGO FILE option)
- - sender and destination names
- - total number of pages
- - message body (if one was entered)
- If no cover sheet is created, only attachments will be faxed.
- Possible settings:
- Y - create cover sheets
- N - do not create cover sheets

- COVER SHEET - ALLOW CHANGE
- This option allows users to turn cover sheet generation on or
- off for a specific message by entering keywords in the message.
- See the COVER SHEET option explained in the section entitled
- "Connect2FAX Addressing Options".
- Possible settings:
- Y - allow users to turn off generation
- N - do not allow users to turn off generation

- HIGH RESOLUTION
- As with traditional fax machines, faxes may be sent fine (high
- resolutionn"}) or standard (low resolution). Low resolution
- faxes are quicker to send, reducing phone time, but are not as
- clear as high resolution faxes.
- Possible settings:
- Y - Fine Resolution
- N - Standard Resolution

- HIGH RESOLUTION - ALLOW CHANGE
- This setting allows users to select fine or standard resolution
- for a specific message by entering keywords in the message.
- See the RESOLUTION setting in the section entitled "Connect2FAX
- Addressing Options".
- Possible settings:
- Y - users may change default
- N - users may not change default

- TEXT ATTACHMENTS
- Sets the default for plain text attachments to be sent either
- uncompressed (80 character) or compressed (132 character).
- Also, when used in conjunction with NORMAL WIDTH setting, the
- auto-detect setting automatically scans to determine the best
- method. These options do not effect PCX or DCX files, or cover
- sheet text.
- Possible settings:
- C - Compressed
- N - Normal
- A - Auto-Detect

- TEXT ATTACHMENTS - ALLOW CHANGE
- To allow users to override the default, and select compressed
- non-compressed, or auto-detect modes for a specific message by
- entering keywords in the message, enter Y.
- Possible settings:
- Y - users may change default
- N - users may not change default
-
- NORMAL WIDTH
- In order for the compression setting to be auto-detected for
- text attachments you must specify the maximum number of
- characters that can be faxed on a single line while in non-
- compressed mode. Some fax servers (using different fonts can
- place too many or too few characters on a line). Leave this
- value at 80 if you are unsure.
-
- SHOW SUBJECT
- Connect2FAX can use the subject field of an MHS message to
- automatically generate a SUBJECT line at the top of the cover
- sheet. The fax then becomes SUBJECT: the mail subject.
- Possible settings:
- Y - Generate SUBJECT
- N - Do not generate SUBJECT

- ALLOW DELAY
- Connect2FAX normally submits faxes for immediate transmission.
- If this option is enabled, users will be able to specify a date
- and time for delayed transmission. See DELAYED TRANSMISSION in
- the section entitled "Connect2FAX Addressing Options".
- Possible settings:
- Y - Allow delayed transmission
- N - Do not allow delayed transmission

- DATE FORMAT
- Specifies what the default date format should be. This is
- important during delayed transmission and success response
- notification.
- Possible settings:
- A - American (MM-DD-YY)
- E - European (DD-MM-YY)
-
- SUCCESS RESPONSE
- Connect2FAX always sends e-mail notification if an outgoing fax
- fails, but you may receive notification upon successful
- transmission, as well. The notification message will display
- the date and time of transmission, duration, number of pages,
- and remote fax ID. Some mail administrators turn this option
- off as it generates additional mail, and therefore more network
- traffic.
- Possible settings:
- Y - users get outgoing fax confirmations
- N - no outgoing fax confirmations

- ROUTE INCOMING
- Connect2FAX can convert an incoming fax to a DCX and forward it
- to the fax administrator in a message containing the sender's
- fax ID, date and time that the fax was received, duration, and
- number of pages. Possible settings:
- I - ignore incoming faxes
- R - route incoming faxes to adminstrator
- N - notify only, do not route
-
- CHECK PHONE NUMBER
- The most frequent mistake made by e-mail users trying to send
- fax documents is forgetting the 1 in front of the area code of
- the fax number for long distance. Connect2FAX can attempt to
- determine if a fax number does not have the required 1 in
- front, and insert it automatically. This option should only be
- enabled in the US and Canada where area codes follow a common
- format, not in other countries that do not follow the 3 digit
- area code followed by 7 digit phone number format.
- Possible settings:
- Y - check phone number
- N - do not check phone number

- BMAIL SUPPORT
- This option should only be enabled if outgoing mail originates
- in BeyondMail or BeyondMail for Windows. These mail packages
- insert additional information into the body of the MHS message,
- and this will appear on the fax cover sheet. Turning on this
- option will cause Connect2FAX to strip these fields out, thus
- cleaning up the cover sheet.
- Possible settings:
- Y - BeyondMail is being used
- N - BeyondMail is not being used

- Once you have made your selections, press F10 to save the
- configuration. You may modify the configuration whenever you
- require, and you do not need to down the MHS machine to do so.
-
- Controlling File Types to Send
- ------------------------------
- Connect2FAX may only send file attachments that are text, DCX
- image, or PCX image files. You may prevent users from sending
- invalid attachments, such as word processing documents, to a
- fax address.
-
- To do this, create a file named "VALIDFAX.C2F" in the
- \MHS\MAIL\GATES\FAX\PUBLIC directory. The file would look like
- this:
-
- .TXT
- .ASC
- .PCX
- .DCX
-
- If you send an attachment to a fax address, and the
- VALIDFAX.C2F exists, the fax will not be sent if the file
- extension does not match one of the entries in the list.
-
- Sender Name Determination
- =========================
- Sender names are automatically placed on the fax cover sheet
- for outgoing faxes. Connect2FAX does the following to obtain
- the sender's name:
-
- 1. Checks the sender name file. This file is named
- C2FAX.USR (see section entitled "Creating the C2FAX.USR
- File") and is stored in the \MHS\MAIL\GATES\FAX\PUBLIC directory.
-
- 2. If there is no entry in the C2FAX.USR file, or the file
- does not exist, Connect2FAX uses the sender's MHS long name.
- (This is set up in the MHS "Manage Directories" menu option).
-
- 3. If there is no MHS long name, the sender's MHS short name is used.
-
- Creating the C2FAX.USR File
- ---------------------------
- Using the C2FAX.USR file gives you the most flexibility. The
- file is a plain text file and can be created with any text
- editor in the \MHS\MAIL\GATES\FAX\PUBLIC directory. (If you
- use a word processor, make sure it saves the file without any
- formatting codes). The file consists of one line per user, and
- each line contains the MHS short name, followed by a space, and
- then the name to use. The length of the name may not exceed 30
- characters, the maximum allowed by CAS. The following is a
- sample C2FAX.USR file for two users:

- JSMITH John Smith - President
- JDOE Jane Doe, Ext. 500
-
- This file sets up names for MHS users JSMITH and JDOE. Any
- other users that are not in the C2FAX.USR file will have fax
- names based on MHS entries.
-
- Note: You do not have to use the C2FAX.USR file. It is an
- option that will give you additional control, if desired.
-
- Using Connect2FAX
- =================
- To send a fax via Connect2FAX , the MHS message must be
- addressed correctly. Ideally, if your mail program allows you
- to create address templates you should do so. This will hide
- the addressing requirements, and ensure that faxes are
- addressed properly. (Sample templates can be found in the
- section entitled "Templates for Popular E-mail Programs").

- Creating Connect2FAX Addresses
- ------------------------------
- A Connect2FAX address looks like this:
-
- SEND@FAX {/TO:John Smith /FAX:1-555-555-1234}
-
- The first part, SEND@FAX, tells MHS that this message is to be
- sent to the Connect2FAX gateway for delivery. In this example,
- FAX should match the Gateway NGM Short Name designated in the
- installation procedure if you are using Global MHS. All fields
- passed to Connect2FAX are placed in the extended address area.
- (The above example uses just the /TO: and the /FAX: fields).
- Fields may be passed in any order.

- Connect2FAX Addressing Options
- ------------------------------
- The following is a list of support fields. The only field that
- is required is the /FAX: field. All other fields are optional,
- and default settings will be used if they are not provided.
-
- FAX NUMBER
- The fax number is required, and is entered after the word /FAX:
- (the colon is required). The fax number may contain spaces,
- hyphens, and parentheses, if you wish. Fax numbers must be
- entered exactly as they would be dialed. Users must therefore
- remember to put a 1 in front of area codes if required. /FAX:
- may be abbreviated to /F: if desired. The maximum length for
- the fax number (excluding the /FAX: at the beginning) is 30
- characters.

- DESTINATION
- The optional destination name is used on the cover sheet and
- the top of each page if provided. It is entered after the word
- /TO: which may be abbreviated to /T: if desired. The maximum
- length of the destination name (excluding the /TO: at the
- beginning) is 30 characters.

- COVER SHEET
- Connect2FAX can automatically create coversheets for outgoing
- faxes. These contain the logo (if one was specified), the
- sender and destination names, total number of pages, and the
- body of the message if one was entered. If no cover sheet is
- created then only attachments will be faxed, and not the
- message text. The default cover sheet setting is set in the
- configuration program. If allowed, users may specify the
- /COVER keyword to turn cover sheet generation on, and /NOCOVER
- to turn if off.

- COMPRESSION
- Attached text files may be sent compressed (132 character mode)
- or uncompressed (80 character mode). The default is whatever
- was setup in the configuration program. If the default is
- auto-detect then Connect2FAX will determine which setting is
- best for a particular file. If you have allowed users to
- override the default setting, they may specify /COMPRESS or /C
- to send attached text files in compressed mode, /UNCOMPRESS or
- /U to send them uncompressed, and /AUTO or /A for auto-
- detection. Compression only effects attached text files, not
- the cover sheet.

- DELAYED TRANSMISSION
- Connect2FAX usually sends faxes as soon as it receives them.
- However, if you so allow, users may set the time and date for
- delayed transmission.
-
- Dates and times are specified based on the DATE FORMAT setting.
-
- American:
- /DATE:MM-DD-YY or
- /DATE:MM-DD-YYYY
- (e.g., /DATE:01-01-98 = January 1, 1998).
-
- European:
- /DATE:DD-MM-YY or DATE:DD-MM-YYYY.
-
- Times are specified as /TIME:HH:MM (e.g. /TIME:18:30 for 6:30
- p.m.).
-
- If a date is specified without a time, the fax will be sent at
- 12:00 am on that day. If a time is specified without a date,
- the fax will be sent the first time that time is reached.
-
- RESOLUTION
- Faxes are usually sent at the default resolution (standard or
- fine as specified as the default in the configuration program.
- If you have allowed users to override this setting, they may
- enter /FINE or /F to specify fine, and /STANDARD or /S to
- specify standard resolution. This resolution will be used for
- the cover sheet and any follow up sheets.

- LOGO FILE
- Usually the logo specified in the configuration program is
- used. To specify an alternate logo for the cover sheet,
- specify the complete path and file name (e.g.,
- F:\FAX\LOGO.PCX), preceded by /LOGO: or /L: Logo files must be
- valid PCX files.

- Addressing Examples:
- -------------------
- The following sends a fax to Tom Wilson at 555-555-9876:

- SEND@FAX {/TO:Tom Wilson /FAX:1-555-555-9876}

- The next example adds parameters to send a fax to John Smith at
- 555-555-1234 with no cover sheet, in compressed, 132 character
- mode, on June 1, 1994 at 12:00 am:

- SEND@FAX {/TO:John Smith /FAX:1-555-555-1234 /NOCOVER /C
- /DATE:06-01-94}

- The last example shows how a fax could be sent to Mary Jones at
- 555-555-1267 with a cover sheet, including a logo (other than
- the default), with fine resolution, at 4:00 p.m.:

- SEND@FAX {/TO:Mary Jones /FAX:1-555-555-1267 /COVER
- /L:c:\fax\marylogo.pcx /F /TIME:16:00}

- Note: All fields may be enclosed in () if you wish. The /TO:
- field may therefore be specified as /TO:JOHN or /TO:(JOHN). If
- used, the () will not appear on the fax itself. The reason you
- would want to enclose fields in () is to allow the use of the /
- character. For example, /TO:JOHN / SALES would appear as JOHN
- on the outgoing fax, because the second / would indicate a new
- field. Specifying /TO:(JOHN / SALES) tells Connect2FAX that
- the second / is actually part of the destination name, and the
- name would appear as JOHN / SALES.

- Other Sending Features
- ----------------------
- Multiple Recipients
-
- Faxes may be sent to multiple recipients. Each address should
- be modeled upon the prior examples, and separated by a comma.
-
- Fax Status
-
- Connect2FAX will inform users of the status of each fax
- recipient individually once it is sent or fails, as specified
- in the configuration program.
-
- Cover and Follow-Up Sheets
-
- The text of the message in your e-mail message automatically
- becomes the fax cover sheet text. If you wish to send follow
- up sheets, add them to the e-mail message as attachments.
- Attachments may be PCX DCX and plain text files. Up to 64
- files may be attached to a message. (Note: That is 64 files,
- not pages. As DCX and plain text files may contain multiple
- pages, you may send far more than 64 pages if you wish).

- Sending the Fax
- ---------------
- To send the fax, just send the message as you would any regular
- e-mail message. MHS will deliver the message (and attachments,
- if any exist) to Connect2FAX. Connect2FAX will then convert
- your message into a fax, and send it to the fax board or
- server.

- Mail Notification
- =================
-
- Delivery Notification
- ---------------------
- If you have Connect2FAX configured to do so (see SUCCESS
- RESPONSE under Connect2FAX Options), it will return a delivery
- notification through mail as soon as an outgoing fax is
- successfully transmitted. The message will list the date and
- time of the transmission, duration number of pages remote fax
- ID, and a list of attached files if any. This will provide a
- means of logging faxes sent.

- Non-Delivery Notification
- -------------------------
- If an outgoing fax encounters either a transmission or
- submission failure, a non-delivery notification is sent to the
- sender. The mail will specify which fax failed, and the
- reason for the failure.
-
- Transmission Failure
- --------------------
- Transmission failure means that the fax card or server tried to
- send the fax and failed. This could be for many reasons,
- including incorrect or busy fax numbers.
-
- Note: If you are running a fax server that is configured to

- Submission Failure
- ------------------
- A submission failure occurs if Connect2FAX could not submit the
- fax to the fax card or server. This usually means that the MHS
- machine does not have the fax drivers loaded, or has lost its
- connection to a fax server. No faxes will be submitted until
- this situation is rectified. This kind of failure is reported
- to both the user who sent the fax, and the user established as
- administrator.

- Incoming Faxes
- ==============
- If you have enabled the routing of incoming faxes (see ROUTE
- INCOMING under Connect2FAX Options), Connect2FAX will scan for
- any untouched incoming faxes each time it is run. If it finds
- any, it will send a mail message to the mail ID specified in
- the configuration utility with the specifics about the fax.
- The actual fax document is sent as a DCX file attached to the
- message.

- Note: Only faxes that have not been read, viewed, or saved, by
- any application are routed.

- E-Mail Program Templates
- ========================
- To make sending faxes easier for your users, you should set up
- a template for Connect2FAX addresses. To assist you in this,
- here are templates for ExpressIT!, BeyondMail, and Da Vinci.

- Note: Each of the following examples assumes that Connect2FAX
- was installed with a gateway name of FAX.

- ExpressIT!
- ----------
- The following method may be used by the user to edit their
- Personal Address Book or by the System Supervisor when running
- EXNICNAM.EXE to add to the system address book.

- Create an entry as follows:

- Name: FAX
- Description: Connect2FAX Template
- Address: ??FAX??FAX@FAX{/TO:?Who? /FAX:?FAX No.?}

- The text between the double question marks (in the above
- example FAX) will be used as the title for the dialog box. The
- text between the single question marks (in the above example
- Who and FAX No.) will be displayed to the user. Any additional
- parameters from the section entitled "Connect2FAX Addressing
- Options may be added using this same method.

- BeyondMail
- ----------
- BeyondMail stores templates in a file called BMAILNAM.TPL in
- the BeyondMail PUBLIC directory. Edit this file and add an
- entry similar to the following:

- name "FAX"
- format "SEND@FAX {/TO:(^0) /FAX:(^1)}"
- part 0,6,"Name","^0","",Y,1,30,N
- part 1,0,"Fax number","^0","",N,1,30,N
- end

- When users modify their address books they will then see a fax
- template that prompts them for a name and fax number. See the
- note under the section entitled "Connect2FAX Addressing
- Options" for information on the use of parentheses in a fax
- address.

- Da Vinci eMail
- --------------
- The mail administrator must add templates to Da Vinci name
- lists. The name should added as follows:

- e-mail: SEND@FAX{/TO:(%1)/FAX:(%2)};Name:30;Number:30

- Users may then select that template when they create a message,
- and they will be prompted for a fax name and number.
